ONLINE BOOKING PROCESS

We ask you to read our Online Booking Terms and Conditions as well as our Cancellation Policy (see Clause 8 below) as you will be asked to confirm that you have read and understood these before your booking can be confirmed.

Please note that when you make your reservation, Clubstohire.com will charge your payment card for the amount due for the entire “Hire Period” (as defined below). By acknowledging these Terms and Conditions, you also authorize Clubstohire.com to charge your debit or credit card for any late, lost, stolen, broken, non-returned equipment, and for all other amounts payable under these Terms and Conditions. Please see Clause 2 below for further details.

TERMS & CONDITIONS FOR HIRING WITH GOLFCLUBSTOHIRE LIMITED (hereinafter referred to as “Clubstohire.com”)

1. DEFINITIONS

1 – “Equipment” shall mean the golf equipment being hired.

1.2 – “First Hire Day” and “Last Hire Day” shall mean the first and last days respectively on which the Equipment is being hired by you.

1.3 – “Hire Period” shall mean the period during which the Equipment is being hired and will commence on the First Hire Day and terminate on the Last Hire Day.

2. PAYMENTS

2.1 – All hires and purchases that you make through Clubstohire.com will be transacted by means of a valid payment card at the time of making a reservation. Hirers hereby authorize Clubstohire.com to charge their payment card immediately and without prior notice for any amounts due plus any late, lost, stolen, broken, non-returned equipment, and for all other amounts payable under these terms and conditions.

3. BOOKING CONSTRAINTS

3.1 – Booking Date:
Clubstohire.com can accept bookings made up to 12 months in advance.

3.2 – Minimum hire duration:
The minimum Hire Period is 1 day.

3.3 – Maximum Hire duration:
The maximum Hire Period is 6 weeks.

3.4 – Subject to Availability:
Clubstohire.com will make all reasonable efforts to provide you with the Equipment you order. However, please note that due to unknown factors such as Equipment not being returned on time, insufficient lead time, lost, broken or stolen Equipment, etc., all of our Equipment is subject to availability. If the Equipment you desire is unavailable, we will endeavour to replace it with Equipment of the same standard that is apt to fulfil the same purpose.

4. DELIVERY AND COLLECTION

4.1 – Pick-up and Return of Equipment:
Equipment shall be picked up on the First Hire Day and shall be returned on the Last Hire Day at the airport or pre-arranged location chosen.

4.2 – Clients who book more than one set of clubs when making their booking will need the other golfers to produce their passport at pick up.

4.3 – For clubs to be released from our pick up points clients must be present and produce their passport, credit card (agent orders) and order confirmation number.

5. DUTIES

5.1 – Duties of Clubstohire.com
i. Provide the Equipment on the First Hire Day, subject to clause 3.4
ii. Ensure that the Equipment is fit for purpose

5.2 – Your duties
i. Pay the price referred to in Clause 6
ii. Not to use the Equipment imprudently
iii. Allow Clubstohire.com to examine the Equipment at any time.
iv. Allow any urgent repairs to the Equipment
v. Inform Clubstohire.com immediately if there is any fault or defect
vi. Return the Equipment in its initial condition on the Last Hire Day

5.3 – Repossession of Equipment: Clubstohire.com reserves the right to request the return of the Equipment or to repossess the Equipment if you do not comply with your duties as above, or if the Equipment appears to be abandoned. In the event of repossession, Clubstohire reserves the right to charge your payment card for the full Hire Period or for any period thereof.

6. PRICES

6.1 – All prices shall be as listed on the website for each location and are subject to change without notice. The prices are guaranteed for the hire associated to the confirmed booking. The prices take into account all mandatory charges and include Value Added Tax or any other local tax. Clubstohire.com’s website prices are location based for Europe and U.K. and will be automatically charged in the currency of the location detected at time of booking.

6.2 – Additional charges may be levied in the following situations:
i.Damages & Theft: up to the limit of the Equipment’s replacement cost.
ii.Failure to Return the Equipment: failure to return the Equipment for any reason on the Last Hire Day or when requested to do so by Clubstohire.com will result in our charging your payment card the full amount of the manufacturer’s replacement cost for the Equipment, in addition to any charges for the Hire Period.

6.3 – For any single set booking a €10/£10 charge will apply. This charge will not apply to locations where we have an outlet e.g. Faro and Malaga.

7. PAYMENT CARD

7.1 – Payment
Clubstohire.com will charge your payment card for the amount due for the entire Hire Period when you make your online booking and by accepting these Terms and Conditions you hereby authorize this charge. In addition, you also authorize Clubstohire.com to charge your payment card for any late, lost, stolen, broken, non-returned equipment in accordance with Clause 6.2 and for all other amounts payable under these Terms and Conditions.

7.2 – Method of payment
Payment can be made using the following methods:
“Mastercard” debit or credit card, and “Visa” debit or credit. Payment using any of these cards is accepted in accordance with the limits authorised by your card issuer.

8. CHANGES TO RESERVATION: MODIFICATION / CANCELLATION POLICY

We know that travel can be stressful and things can change. To give you more flexibility we are pleased to offer you the following cancelation policy.

8.0 – If you give us more than 5 days notice we can cancel your booking in full and issue you with a voucher for the full value. The voucher can be used at any of our locations for up to 5 years.

Alternatively you can receive a cash refund on the following basis:

8.1- You may cancel this agreement at any time by notifying Clubstohire.com by email of your intention to cancel. Club hire can only be cancelled by email. Phone cancellations cannot be accepted. In the case of cancellations, the following is our cancellation policy:

A minimum charge of €10/£10/$10 per set will apply to all cancellations. Cancellation of less than 28 days from date of pick up will result in a charge of 30% of the value of the booking. For cancellations of less than 14 days’ notice, a charge of 50% of the value of the booking will apply. For bookings cancelled less than 5 days but more than 48 hours from date of pick up, a charge of 75% of the value of the booking will apply.

No refund will apply to bookings cancelled less than 48 hours from date of pick up. Our online cancellation policy supersedes all other written Hire Agreements that may be signed at our locations.

8.2- Unused Booking: Equipment that is scheduled to be picked up will be kept for 12 hours and then cancelled. If the golf hire equipment is not picked up, no refund will apply and no amendment will apply to any unused booking.

8.3-Changing bookings and Extension of Hire Period. We will do our best to accommodate any changes that you may wish to make to your booking, including any extension that you may wish to make to the hire period. Please note, however, that any such changes are subject to availability particularly when requested within 72 hours or less of your first hire day.

8.4 Vouchers issued can not be exchanged for cash.

9. MISCELLANEOUS

9.1 – Nothing in these Terms and Conditions will affect the statutory rights of any consumer or exclude or restrict any liability for death or personal injury arising from the negligence or fraud of Clubstohire.com. You expressly acknowledge and agree that Clubstohire.com, its officers, directors, employees or representatives will not be liable for any direct, indirect, incidental, special, consequential or exemplary damages, including but not limited to: damages for loss of profits, goodwill, use, data or other intangible losses (even if Clubstohire.com has been advised of the possibility of such damages), resulting from the online booking.

9.2 – Neither party shall be liable for failure in its performance hereunder caused by any case of Force Majeure. Force Majeure shall be considered as any irresistible or unforeseeable event, independent of the party suffering of the case of Force Majeure, which prevents this party from fulfilling its obligations.

9.3 – You do not acquire any ownership or other interest in the Equipment.

10. Gold Cover Protection – Damage / Loss Waiver

Failure to return the Equipment for any reason on the Last Hire Day or when requested to do so by Clubstohire.com will result in our charging your payment card the full amount of the replacement cost. As Clubstohire.com will only provide original manufacturer produced clubs, the replacement cost will be based on the manufacturer’s suggested retail price for the Equipment, in addition to any charges for the Hire Period.

Where Gold Cover Protection has been purchased, the charge with respect to damage shall be reduced to zero providing the head of the club is returned undamaged (shaft damage only). Where the head of the club is not returned said equipment will be deemed as lost/stolen. If any damaged club returned is unrepairable, this will also be deemed as lost/stolen and the appropriate amount will be automatically charged to the payment card. Any club head damage will be asses on a case by case basis.

Abuse/Neglect/Misuse of Equipment will be deemed as lost/stolen

Where the Gold Cover damage/loss waiver has been purchased, the charge in respect to lost/stolen equipment shall be reduced to the excess for that club(s). A full tariff of excesses is listed below.

11. PRIVACY POLICY

When you place an order we collect your name, e-mail address, mailing address, phone number and payment card information. Client’s payment card details are held by a third party in a vault system operated by Realex Payments. This information will act as security against your booking. Clubstohire.com have self-certified compliance with the PCI council standards.

Clubstohire.com do not keep a record of your credit card number. We will record which products you book and which products you purchase. We also monitor customer traffic patterns and site use which enables us to improve the service we provide.

This information is used to process orders and to provide a more personal shopping experience.

The payment card used to make a booking will act as security for the clubs booked.
We may require you to produce your credit card on pick up of clubs if necessary.

We do not hold or store any customer’s financial details.

12. ABANDONED/ RECOVERY OF CLUB SETS

Should there be a requirement to recover abandoned items from your hire set from your accommodation or Golf Course after you have departed, there will be a fee of €25 plus €1.15 per km for the recovery of each set or item.

Should an item be lost and subsequently found at your hotel or golf course, the same charges shall apply.

13. SECURITY

When you place an order on our website, you are connected to our secure server. The secure server software (SSL) encrypts all information you input.

Furthermore, all information is collected lawfully and in accordance with the Irish Data Protection Act 1988.

We are GolfClubstoHire Limited (“we”, “us, and “our”), a golf club rental company.

This notice is addressed to all individuals who are users of our services or products. We refer to all these individuals as “customer” or “you” in this policy document.

At GolfclubstoHire Limited (Including Golf Club Rental SL., GT Golf Sale NI and related entities) we understand that privacy and the security of your personal information is extremely important. Because of that, this policy sets out what we do with your information and what we do to keep it secure.  It also explains where and how we collect your personal information, as well as your rights over any personal information we hold about you.

This policy applies to you if you use our services or products online, in store, over the phone or otherwise by using any of our websites or interacting with us on social media (our “Services”).

This information will act as security against your booking. The payment card used to make a booking will act as security for the clubs booked. We may, with advance notice, require you to produce your credit card on pick up of clubs if necessary.
  • We will record which products you book and which products you purchase. This information is used to process orders and to provide a more personal shopping experience.
  • We also monitor customer traffic patterns and site use which enables us to improve our services, offer new products and understand the interest of our customer. We collect this information because it is in our interest to improve our services.
  • We may use your information to make decisions about what other products and services you might be interested in and contact you by email, text, telephone, post or other means about these products and services. We use your information this way because it is in our interest to promote and manage our business. We balance this interest with the impact on you, and at any time you can ask us to stop using your information for this purpose. (Please refer to point 5 of this policy).

Please note, we will continue to use your information after your hire period has ended, unless you have asked us not to.

3. How do we collect and hold personal information?

Collection of personal information: When we collect personal information about you, we do so by making a record of it.

We do this when:

  • You register with us, for example to order clubs, buy a product, to create an account or to send you information;
  • You communicate with us online;
  • You take part in our promotions, competitions, testimonials, surveys and focus groups.

We may also collect personal information about you by accessing data from other sources and then analysing that data together with the information we already hold about you in order to learn more about your likely preferences and interests. When you visit our websites, social media pages or mobile applications or click on our advertisements on the online media of other companies, we may collect information about you using technology which is not apparent to you, for example “cookies”.

Personal information we hold is generally stored in computer systems. These may be operated by us or by our service providers. We do not hold or store any customer’s financial details.

  • To learn of your likely preferences so that we may promote goods and services to you in a way which may be of most interest to you. This includes the products and services of our suppliers and other trusted partners who offer products and services that may be of interest to you; and

  • To ask us to fix information about you that is wrong or incomplete, this is known as right to rectification.
  • To ask us to delete information about you, this is known as the right to erasure.
  • To tell us you no longer agree to us using your information about you and ask us to stop, this is known as the right to object.
  • To tell us to stop using information about you to sell you products and services, this is known as the right to restrict processing.
  • To make a “subject access request” which is a request for us to send you the information we have about you. Before we provide you with access to your personal information we may require some proof of identity.
  • To ask us to not to use information about you in a way that allows computers to make decisions about you based solely on automated processing.

In addition to contacting us using details above you may change your marketing preferences by clicking ‘change preferences’ at the bottom of any email communications.

6. How can you complain about our management of personal information?

We are only allowed to keep your information if we need it for one of the reasons we describe above.

7. Our sharing of your personal information overseas

It is our policy to require all of our overseas sharing of personal information to be done in a way which requires observance of strict privacy and security standards, both during transit and at the overseas destination. We may allow your personal information to be shared with those who are in countries other than your own location. We do this:

  • Where we have made a business decision to store our data with a trusted service provider who is in the business of providing data storage and processing services. Examples are those who store and process our email and mobile application data. These services commonly involve diverse geographic locations which change from time to time for reasons which include data protection and processing efficiency. Where these services are used by us, it is not practical for us to notify you of which country your personal information may be located in;
  • For disclosures between our group companies. Our main business locations are in Ireland but some of our group companies, branches and subsidiaries our based in other countries.
  • When our business which collected your personal information is in a different country to your location;
  • When our supply to you necessarily involves overseas disclosures. For example, information technology providers.
  • Where you are involved with public liability issues concerning a product we may disclose your personal information to any overseas supplier of such a product in the course of managing those issues.

We may update this privacy policy from time to time. We will notify you of the changes where we are required by law to do so.

9. Other privacy terms and limits of this policy

This is a policy. There may be additional privacy notices and terms relevant to you depending on the nature of your dealings with us and on our particular businesses. There are additional privacy terms, term & conditions and cookies terms on our website and at our shops. for example. We have separate charters concerning our employees – this policy does not apply to the personal information of our employees in their capacity as such.
